General Data Protection Regulations

On 25th May 2018 data protection regulations are changing. These changes give you more rights, including the ability to amend or withdraw from how we use your data and to ask to see, update or remove it.

The data we hold and how we use it:

For all club members we retain and use the same data in the same way.     

For each member we hold: Name, Classification/Profession, Name of spouse/partner, Address, Telephone numbers as supplied (home / mobile/ work), Contact email address.

 This data is used to register members in Rotary International and to manage subscriptions. Data is stored in a secure RIdatabase accessed by the club secretary. RI will also use the data to communicate news related to RI, Rotary GB&I and District 1010.

 In addition the data is included in the members only part of the club website and an annual club membership list, which is downloaded and distributed to members only, for the purpose of enabling contact between members for club or social events. 

Right of withdrawal:

We have not changed the reason for holding your data as agreed when you joined Rotary. However, you have the right to withdraw your data at any time. To do so simply contact the secretary who has admin rights to the database and will make any changes you wish.

We will NOT:

• Pass your personal details to any other third party without your further consent.
• Add your personal contact data to our website without your further consent.
• Supply a copy of the Club membership listto anyone other than club members.
 
What does the club need you to do?

In order to comply with the regulation I am required to get your positive consent for the club to hold and use your data as described above and to contact you by email as required.  

I need to ask that you reply to this by email or letter indicating your consent for The Rotary Club of West Fife to hold and use your data as described above.

Without Consent:

In the event that a member does not provide consent the law requires that we remove your details from our database and cease to contact you by email.
