Health & Safety Policy

ROTARY CLUB OF PETERBOROUGH ORTONS

HEALTH & SAFETY POLICY

The Rotary Club of Peterborough Ortons (Ortons) is committed to ensuring that all reasonably practicable steps are taken to safeguard the participants, members of the public, volunteers, Rotarians and anyone who may be in the vicinity of a Rotary event or activity from risk of injury or ill health resulting directly or indirectly from that activity or event.  Ortons is committed to:-

1.         Promoting and encouraging development of safe practice as the normal acceptable standard for all Ortons events and activities.

2.         Establishing systems and procedures that will ensure members have access to up to date information and safety advice when so required.

3.         Developing and encouraging communication at all levels in order to develop the exchange of ideas and to promote best practice at all levels within Ortons.

4.         Training members and providing information in health and safety issues when appropriate.

The overall responsibility for safety at any Rotary activity or event and for implementation of safety management lies with the Club or Clubs organising it. In support of this policy the Club Council will appoint a Health and Safety Officer who will report to and operate through the Ortons Membership Support committee.  The Club Health and Safety Officer will liaise as required with the Rotary GB&I Health and Safety Officer, the District 1070 Health and Safety Officer and other safety representatives in order to promote, encourage and develop suitable and sufficient health and safety practice at all Rotary events and activities.

Health and Safety Risk Assessments

In respect of each Ortons function or event it is the joint responsibility of the activity / event organiser and the Health and Safety Officer to assess whether the risks are such that a formal risk assessment is required.  Where such an assessment is required those members will make a suitable and sufficient assessment of the risks for which the Club is responsible.  The significant findings of such risk assessment will be communicated to the chairman of the Membership Services Committee and the chairman of the committee organising the function or event.

Action required to remove/control risks will be approved by the Health and Safety Officer.  Responsibility for ensuring the action required is implemented and risks reduced lies with the function / event organiser and his / her committee chairman.

Each completed risk assessment will be endorsed with a review date.  Unless the related function / event is not to be held the risk assessment must be reviewed no later than such date, and should be reviewed earlier if circumstances dictate that this would be advisable.  The function / event organiser and/or the Health and Safety Officer should instigate such a review in these circumstances.

This policy will be reviewed by Ortons at each AGM, following which appropriate advice and updated documents, if so required, will be provided to the Club Council. This policy, and any documents based upon it, should be re-validated annually as appropriate.
