ROTARY CLUB OF ROYAL WOOTTON BASSETT AND DISTRICT
CLUB COUNCIL MINUTES

MINUTES of the meeting held on Monday 5 October 2015 at 7 pm at  Glentworth House, Cricklade.

PRESENT: President Anthony, IPP John, President Elect Frank, JVP & ISCC Catherine, Treasurer Phil, C&VSCC Allison, FO Keith and Secretary John.  

Apologies: Youth Chair Hazel, PRO & Youth Vice Chair Bob.

MINUTES of the meeting held on Monday 7 September 2015 NOT having been circulated were approved and signed.

MATTERS ARISING
1.Water Boiler
Bob has investigated this and can not find a stand alone gas boiler that has automatic temperature control. Keith as safety officer has stated that he has used the boiler and feels that it is safe to use for Rotary events. No further action will be taken.
2. Club Council Minutes
It was agreed by the Council that the draft minutes would be reviewed by the President (or the Chair of the meeting), before they are circulated to Club Members. To allow time for this review, the minutes and the Council recommendations would be discussed at a business meeting that would now be held on the second Wednesday after the Club Council. This will be effective from the Rotary Year 2016/17. (Currently, Club Council Meetings take place on the Monday before the first Wednesday in the month unless that Monday is a Bank or Public Holiday.)

PRESIDENT'S REPORT
President Anthony reported that he has been to many committee meetings this month.
"I have to say that the highlight for me was the Car Boot Sale which happened just before the last Club council Meeting but stayed with me as a super day with our Club showing off its best colours. It was good also to have welcomed Gill Llewellyn and her sister Jackie as our guests at lunch on the 23rd September when we were given the opportunity of finally passing over to Gill the lovely Caricature picture we had commissioned.  Gill assured me it will have pride of place in her home.
On a sadder note we have had to say goodbye to another of our brethren, Brian Cooke. The funeral for us is at 2.30 pm on Monday, the 19th October and afterwards at the Wiltshire Hotel.  Brian's death has come upon us quickly and although this may be a desirable way to go it leaves the loved ones feeling confused and hurt.  So to Jin and the family I have said let us your larger family know if there is anything at all you need and we will do our best to supply it."

TREASURER'S REPORT
Treasurer Phil reported the following balances for September 2015.
Current Account: £5,448.00
Charity Trust  Fund: £5,014.00.

Visit of the Rotary Club of Kalundborg
Keith reported on his conversation with Peter Olesen. There is a lack of interest from their new members and Peter Olesen is endeavouring to emphasise the benefits of these visits. Club Council decided that we need ask the Kalundborg Club to let us know before Christmas whether the visit is to proceed with at least 15 people attending. Keith agreed to convey the Council’s request to Peter Olesen.

Charity Shop
President Anthony read a report from Michael Page and a long discussion followed on what shop do we have. It was suggested that a list of donations made to charities from the funds raised last year from the shop be displayed this year in the shop. Keith has completed a risk assessment for the shop. President Anthony will speak to the RC of RWB Town to establish their interest in taking over the shop after our Club.

Marquee (Tent)
A discussion on the use of our Tent if we decided to purchase a new one. One suggestion was to offer it to the Police to be used in a Pilot Scheme for a Youth Shelter at various locations.  It was decided that the cost of a replacement is needed before any decision is made. Charitable Giving
It was proposed by Allison that a formal tracking system for Charitable Donations be set up which she is prepared to do instead of the Junior Vice President.  This was voted on by Club Council and approved by a 7 to 1 majority.  Secretary John voted against this change since he felt that this should remain with the JVP and Membership and Administration.

Bingo
Catherine reported that it will be held on the 14 November at St. Bartholomew's Church Hall. Ticket prices £8.00 pp to include a Ploughman's supper. There will be a Tombola and prizes will be needed. There will be a charge of £1.00 per game and 7 games. The Bingo Caller is giving his time free.

Call My Bluff Evening
President Anthony reported that the Call My Bluff Evening will be held on the 22 January 2016 venue to be confirmed. (Venue has now been confirmed as St Boniface Church Hall.)

Christmas Party
The Club's Christmas Party is being held on 9th January at Pound Farm, Lyneham. Catherine proposed that we should not charge for the party this year but cover the costs of the tickets from Club hospitality funds. Phil stated that no such funds existed for 2015/2016. It was agreed to look at this again for next year’s party.

A new Head Teacher
Allison reported that the new Head Teacher at the Lyneham Primary School is keen to be involved with Rotary.

COMMITTEE REPORTS (IF NOT INCLUDED ABOVE)

MEMBERSHIP SERVICES
President Elect Frank reported on the Website and the need to have our Club diary events shown on the Website.
John Loran will be giving a talk to the Club on the 11 November on how to use the Website.
A new PA System has been purchased and it is important that members use it.
Robin Snell has agreed to continue as Speaker Secretary for the remainder of this Rotary Year.
 
COMMUNITY AND VOCATIONAL SERVICE
C&VSC Allison reported on Christmas Street Collections and a Charity Fashion Show.

INTERNATIONAL SERVICE
ISCC & JVP Catherine reported on a Market Stall organised by Keith on the 10 October 2015.
Peter Wells District 1100 Polio Eradication Officer will talk to the Club possibly on the 24 February 2016.

YOUTH SERVICE
In the absence of Vice Chair and PRO Bob, Secretary John reported on:
  • School Quiz,
  • Junior Youth Speaks on the 18 January 2016 at the Memorial Hall;
  • Young Writer;
  • RYLA – reviewing the future support;
  • Young Photographer Competition and
  • Youth Challenge.   
Rota Kids at St. Bartholomew's School is up and running. A supply of badges for Club Officers and lapel badges is required at a cost of £39.00.

FOUNDATION
Keith informed us of the eradication of Polio in Africa. Only Afghanistan and Pakistan left with cases.
Keith is hoping to arrange a curry evening at the Ganges on 23 February (Rotary Day).

PROJECTS
All projects are running well at present
