However, as the content of pages is supplied by the club, such content may not be compatible.

Cookies:

We do not use cookies on this site to identify individuals, other than when a member logs into the members area. These are 'Session Cookies' which are destroyed when a member logs out of the site or closes the browser window - they are not stored long term on the user's computer. These are used so that a member can only log into his/her club etc.

We use Google Analytics to make sure our statistics are reliable.

Google Analytics stores information about what pages you visit, how long you are on the site, how you got here and what you click on. We do not collect or store your personal information (e.g. your name or address) so this information cannot be used to identify who you are.

We have some pages that link to external tools such as Google Maps and YouTube. These tools sit on Google’s web servers and you can find more information on Google's Privacy Policy here.

Some pages may have cookies used to integrate with Social Media sites, so that, for example, if you are logged into Facebook, you can 'like' pages.

We do not collect personal data in the public area of the site - if you complete a contact form, for example, your email address is not stored in a database for re-use, nor is any information passed to third parties.

Introduction

This document outlines the procedded Yate and District Rotary Club as part of Rotary International in Great Britain and Northern Ireleand will follow to adhere to the General Data Protection Regulations 2018.

The Rotary Club of Yate and District organises an annual Beer and Music Festival.

To keep interested parties informed of future festival dates, bands lined up to perform, ticket availability and offers we send out irregular (usually no ore than 4 or 5 times a year) email communications detailing this information.

Personal Information

The Rotary Club of Yate and District retains email addresses and last names (if provided) of those individuals who have signed-up to receive irregular updates relating to our Beer Festival. This data is used for the sole purpose of passing on information relating to the event.

How we collect information

When individuals subscribe to our distribution list they may chose voluntarily to give us certain information (for example by signing up to the list online or by providing their email to be informed of future beer festivals when applying for tickets by post). This information requires direct action by the individual at the time in order for their details to be added to our distribution list.

At the bottom of every email we send there is the option to opt out of future communications should recipients wish to do so. Recipients of our beer festival email communications have applied consent to the Rotary Club of Yate and District by actively giving us their details when subscribing. In doing so they are allowing active communication from us to send  out information and updates relating to our beer festival.

How long we retain information for

The Rotary Club of Yate and District will not retain information for longer than necessary. We will only hold onto information you provide for as long as the Club continues to run the event. You are entitled to request that any of your data is deleted from out records at any time.

Consent

The Rotary Club of Yate and District will not contact any persons for whom we do not have conssent to do so. We understand that you must trust us with your personal information and we are committed to ensuring the security and privacy of yor personal information. You are able to do any of the following:-

  • You can verify the details you have submitted to the Rotary Club of Yate and District by emailing us at email@yaterotaryclub.co.uk .
  • You can contact us to change correct or delete any or all of your personal information. We may retain archived copies of your information as required by law or for legitimate business purposes (including helping to prevent address fraud and spam).
  • You can unsubscribe from receiving any emails from us by clicking the "unsubscribe" link at the bottom of any email we send out. Once you do this you will no longer receive any emails from us.

Use of Personal Information & How the Law Applies

There are times when it ie not practical or feasable for the Rotary Club of Yate and District to obtain or record consent however this information will only be used or processed if there is Legitimate Interest for us to do so and in doing so your interets and rights as an individual are not harmed.

Changes to you data

From time to time The Rotary Club of Yate and District may need to contact those on its beer festival email distribution list to make sure that we have accurate details for you.

Data Sharing

The Rotary Club of Yate and District will not rent swap or sell any personal information to other organisations. Information is only shared with direct connections of the club such as its members.
